1. Introduction

This Privacy Policy explains how the Ministry of Defence ("we", "us") collects, uses, stores and protects information when you use the MOD HR mobile application (the "App"). The App is intended solely for authorised employees. By using the App you acknowledge the practices described here.

2. Information we collect

2.1 Information from your employment record

To provide HR services, the App displays and processes information already held in our HR systems, which may include: your name, employee number, job title, department, grade, contact details (work email and phone), photo, leave balances and history, attendance records, requests you submit, and related HR documents.

2.2 Information you provide in the App

Requests, forms, comments and attachments you submit through the App.

2.3 Technical information

• Authentication tokens issued when you sign in (your password is sent securely to our identity service and is never stored by the App).
• Push notification tokens, so we can send you HR notifications.
• Device type, operating system version, app version, and error/crash logs used to keep the App working.

2.4 Information we do not collect

The App does not collect your precise location, contacts, browsing history, or advertising identifiers, and it does not track you across other apps or websites.

3. How we use information

• To authenticate you and confirm you are an authorised employee.
• To show your HR information and process the requests you submit.
• To send notifications about your requests and HR announcements.
• To maintain security, prevent misuse, and fix technical problems.
• To comply with applicable laws and internal regulations.

4. Sharing of information

We do not sell your information and do not share it for advertising. Information is accessible only to authorised staff who need it for HR purposes. We may share information with service providers that host or support our systems under strict confidentiality obligations, or where required by law or a competent authority.

5. Data storage and security

Data is stored on servers located in the United Arab Emirates. We use technical and organisational measures to protect information, including encrypted connections (HTTPS/TLS), access controls, and secure authentication. The App stores only the minimum data needed on your device, and you can remove it at any time by signing out.

6. Data retention

Employment records are retained for the periods required by applicable laws and our record-keeping regulations. App-specific technical data (such as notification tokens and logs) is kept only as long as needed for the purposes above and is deleted when no longer required.

7. Your choices and account deletion

• You can disable notifications at any time in your device settings.
• You can request a copy or correction of your information by contacting HR or the support team.
• Your App access is linked to your employment account and is removed when your service ends. You can sign out and uninstall the App to remove data from your device. To request deletion of App-related data held on our servers, email hr.support@mod.gov.ae with the subject "MOD HR data deletion request". Records we are legally required to keep will be retained.

8. Children

The App is not intended for anyone under 18 years of age.

9. Changes to this policy

We may update this policy from time to time. The "Last updated" date above shows when it was last changed. Significant changes will be communicated through the App.
